Introduction

Tony Roe Divorce & Family Law Solicitors is a leading niche family law solicitors’ practice, based in Theale, Berkshire. In its very first year, it was the only Berkshire-based specialist divorce and family law firm appearing in the independently researched Chambers' Directory and Legal 500. The firm has now been established ten years.

Our growing practice now seeks a top flight individual as a practice administrator and legal secretary.

You

The candidate should be experienced and ideally have worked in a quality family law team.

The role offers flexibility, with scope for growth and imagination, and would be on a permanent full-time basis.

With telephone and reception duties, the individual will be the first point of contact with people from both inside and outside this friendly firm. The individual will thus engage day-to-day with clients who are frequently higher net worth individuals, high profile and/or leaders in the field. Confidentiality and discretion are an absolute must.

Duties would include:

Audio typing (60 wpm plus)
IT skills beyond basic Word, Excel and Outlook
Taking dictation and minutes
Filing
Preparing court bundles in compliance with the court practice directions
Managing diary systems, organising and maintaining diaries and making appointments;
Handling incoming email, faxes and post,
Dealing with outgoing post
Producing documents, briefing papers, reports and presentations
Telephone duties (to include taking messages and handling enquiries and requests);
Reception duties (meeting and greeting visitors at all levels of seniority)
Preparation and despatch of bills,
Ordering and managing office supplies and equipment
Secretarial duties to fee earners and PA duties to the firm’s principal
Organising and attending meetings and events ensuring the principal is well-prepared for meetings
Liaising with clients, suppliers and other staff
Maintaining office systems & procedures, including data management, filing, etc.
Managing petty cash for banking transactions
Preparing refreshments for clients and other visitors.
Maintaining and updating legal resources, including loose leaf volumes
Photocopying, facsimile transmission and scanning duties
Opening and closing of files
Attending local Post Office to arrange postage of items daily

Sundry other tasks as necessary with possible attendance at court on occasion for which full training would be given.

Personal Characteristics:

The individual will be:

Pro-active, organised, calm, unflappable, a team player, keen to learn, able to “muck in”, discreet, flexible, presentable, practical, resourceful, possessing common sense, with an excellent grasp of grammar and spelling.

The individual will report to the principal, Tony Roe.

Salary: Market rate, depending on experience.

Start date: As soon as possible.
